Preface: In your career as an IT manager, you may need to use different methods of communication depending on the message you are communicating, the reason you are communicating it, and the audience you are communicating to.
In this task, you will use Work Scenario 1: Organizational Change. This scenario presents a situation you must respond to as an IT manager. You will select audiences (i.e., relevant stakeholders) within the situation to whom you must communicate certain messages. You will then determine an appropriate written format/genre (Email, Letter, or Memo) to deliver your message.
For the purposes of this task, the term audience is used to represent the people with whom you are communicating. This term is often used in the field of technical communication. In a work setting, however, you may see audiences referred to as stakeholders.
A. Identify Work Scenario 1 and one audience from the scenario.
1. Develop a plan for the message you will share with the audience identified in part A, by doing each of the following:
• Explain why each of the “Components” included in the work scenario is an essential component of your message.
• Explain why the content of the message is relevant to the chosen audience’s role.
a. Explain whether you think the audience you identified in part A will be receptive to the message you will communicate, including specific details from the scenario to support your position.
b. Identify one additional hypothetical audience characteristic not provided in the scenario that could influence the way you would communicate the content of the message from part A1 and explain how you would adjust the message from part A1 to address this characteristic.
2. Identify the format/genre (Email, Letter, or Memo) you will use to communicate your message and explain why this format is appropriate for your audience.
B. Identify a second audience from Work Scenario 1. This audience must be different from the one you identified in part A.
1. Develop a plan for the message you will share with the audience identified in part B, by doing each of the following:
• Explain why each of the “Components” included in the work scenario is an essential component of your message.
• Explain why the content of the message is relevant to the chosen audience’s role.
a. Explain the similarities and differences between the content of the message from part A1 and the content of the message from part B1.
b. Explain whether you think the audience you identified in part B will be receptive to the message you will communicate, including specific details from the scenario to support your position.
c. Identify one additional hypothetical audience characteristic not provided in the scenario that could influence the way you would communicate the content of the message from part B1 and explain how you would adjust your message from part B1 to address this characteristic. This additional characteristic must be different from the characteristic you identified in part A1b.
2. Identify the format/genre (Email, Letter, or Memo) you will use to communicate your message and explain why this format is appropriate for your audience.
