For this assignment, you must write a short paper that explains how a small team of software developers would create a new software product using the Agile project management approach.
A project seeks to deliver a specific outcome with limited resources and within the planned timeframe. Once the projects achieve their objectives, projects must be closed. Projects are temporary in nature, which is why they must be structured, and tasks must be allocated to fit a defined schedule. Project management is based on applying tools and techniques to execute projects in a coordinated manner within the set time and allocated budget while overseeing quality.
For any project to be successful, a well-structured plan must be in place. Typically, projects are progressively elaborated—meaning that the scope, budget, expected outcomes, and activities are preliminary at the beginning, and refined as the project evolves and more information becomes available.
As a project manager, you measure your success by how you can negotiate with all management levels and stakeholders. Both the functional and project manager must negotiate how to balance resource allocation and workload. The project manager is also responsible for ensuring the accomplishment of the project and organizational objectives while overseeing the proper use of resources. One tool or artifact used in projects to construct a network of tasks that will allow a logical sequence leading to project execution and successful completion is the project charter. The project charter is a document or form in which the project is defined and justified, and the project manager is designated, as well as initial team members, plus scope and estimated budget.
A schedule, as defined by the portal dictionary.com, is a plan or tool designed to sequence time for each task or activity assigning estimated time for completion. It can be a diagram or a time table where all tasks or activities are listed with the assigned period for completion. Using visual tools for schedule design and management, as a simple table, helps the project team follow up on their assignments, status and mark task completion. It also assists the manager in reporting project status.
In project management, a schedule starts by listing and sequencing activities and allocating resources. With this data, deliverables are identified, designed, and aligned with the corresponding task with its estimated completion time, from the start date to the end date. Once the project schedule is approved, it becomes the schedule baseline. This is one of the most critical stages of planning the project, and the budget depends on a sound and realistic project schedule. Not setting a realistic schedule will have a direct impact on project performance and execution, will impact the budget and scope baseline, and the other two portions of the project constraints, resulting in lower project core deliverable quality.
Stakeholders must work on work breakdown structure design along with the project manager and preferably the project team. A work breakdown structure is a sequence of activities, listed either as an outline or represented in a hierarchy diagram. All tasks or activities must be coded representing their corresponding level, from tasks, subtasks, and work package. A work package is the lowest portion of the work breakdown structure (WBS), where the work is carried out.
Once the sequence of the task is built and conforms to the WBS with its estimated timeframes, a popular tool called Gantt Chart can be used to visually manage scheduling and time management during project execution. A Gantt-Chart, as in Figure 7, is a bar-like graphical representation of the task outline that distributes time of each task plus allocated resources, and estimate budget. The WBS can also provide a hierarchical view, as illustrated in Figure 8. This helps to balance workload and monitor project progress. The chart also illustrates task dependencies and predecessors that must finish before the next one can start. With the schedule in place in support of the scope baseline, the budget, communications, quality, resource, and risk plans are elaborated to conform to the project plan.
