Chapter 8 and especially Chapter 12 are especially helpful for this memo. The memo should have the following sections in this order: 1) Executive Summary 2) Introduction 3) Extended Problem Statement 4) Recommendations a. Individual recommendations should essentially be separate sub-sections 5) References More specifically, you should do the following: 1) Begin the memo with standard From/To/Subject/Date information. a. Address the memo to a specific person in the agency who needs to be informed about the issue. 2) Craft a short executive summary in which you overtly define the problem, indicate the major findings, and articulate the recommended strategies. 3) Using the results of the analysis from the Academic Memo, craft a problem statement section that compactly: a. Identifies the issue, the history, etc. b. Explicitly indicates the causes and effects of the issue (i.e., the essence of the analysis results from the Academic Memo but condensed to about a page or so). i. Think of this section as “cutting to the chase”, that is giving the essence of the analysis of the Academic Memo and presented in a way that a busy organizational leader can understand the high-level details as quickly as possible. 4) Use at least two principles from throughout Battaglio as well as at least two points from the lectures to offer at least four actionable recommendations to address the problem. a. Everyone should draw from Chapter 12 in crafting their recommendations. b. Recommendations need to: i. Be clearly labeled (use APA level-2 headings to distinguish between recommendations) 1. Here is good format: Recommendation #1—X should do Y in order to address Z. a. X=Who you are asking to do something b. Y=What you are asking them to do c. Z=What specific problem this recommendation would address (if the recommendation is addressing solely one or more parts of an overall problem but not the overall problem in its entirety) ii. Linked to the overall problem you are addressing iii. Clearly indicate who is doing what iv. Detail the steps involved in implementing the recommendation v.
